Item Locked Due to Physical Count: What to do when the physical count work file was accidentally built
Situation:
When the physical count work file is built in INV > Inventory > Physical Count > 1. Build Physical Count Work File, inventory can become locked based on inventory setup, prohibiting ticket entry, invoicing, and stock additions. First verify that a valid physical count is not being performed.
Users can accidentally enter into the physical count and build a work file unintentionally, thus locking up inventory for all users. The setup question that controls inventory locking when a physical count is in progress is found in INV > Setup Information > Inventory Setup Options > 1. General Information > Screen 1 of 4. Answering Yes locks inventory when a physical count is happening to prevent on hand numbers from changing as a count is being performed.
How to Fix:
When a physical count work file is built unintentionally, users are unable to key tickets, invoice, or key stock additions, often not realizing what happened. The work file must be deleted with no update to inventory numbers to resume operations as normal with no affect from the work file being built. Before deleting the physical count work file, verify a valid physical count is not being performed and the work file was built erroneously.
To delete the physical count work file, go to INV > Inventory > Physical Count > 5. Delete Work File (No Update). This option must be chosen so inventory totals are not affected and no work was performed in the physical count work file. Users should now be able to resume invoicing and no longer see the item locked due to physical count message.
