Location Maintenance - Add/Edit/Delete/Print

The term "location" is used in the AGRIS system to describe an accounting entity or a physical location. Use Location Maintenance on the Maintenance menu to:

  • Add a new location.

  • Edit location information, except for the location code.

  • Delete a location.

  • Print location information.

Requirement

Description

Location Code

Displays the three digit location code, which cannot be edited.

Location Name

Type the name of the location. You may use all upper-case letters, or a combination of upper and lower-case. The location name appears on reports and forms, and can appear on AR statements.

Address Line 1 and Address Line 2

Type all address information in accordance with postal regulations. The address appears on reports and forms, and can appear on AR statements.

Phone Number

The phone number appears on reports and forms, and can appear on AR statements.

State/County

Type or select the two-letter state abbreviation and three-digit county code. The state and county information appears on reports and forms.

Remark #1 and Remark #2

Type any remarks that provide additional information. The remarks appear on reports and forms, and can appear on AR statements.
Remark #1 will hold the company FEDERAL ID # to print on 1099 and W-2 tax forms.

Bank Code

Type or select the two-digit bank code that is associated with this location's bank. This code does not appear on AR statements.

Location Group A,B,C,D,E

Each location can be associated with up to five location groups. Each location group is alpha-numeric, up to five characters. These groups allow reporting by locations not sequentially numbered. This is especially useful when reporting by enterprise, such as feed, fuel, agronomy, etc. For example; each feed location can be assigned to a location group. Reports can then be based on the location group rather than a range of locations.

Inserting Locations

Inserting a location adds a location to the selected dataset.

Assign a new location code.  All location information is defined in the location maintenance section of this documentation.

Deleting Locations

Deleting a location does not remove transaction or historical information related to the location, but does prevent the processing of transactions and reviewing historical information belonging to the location. For example, deleting Location 100 prevents applying payments on hold that are assigned to Location 100 and also prevents you from performing AP and AR account balance inquiries for that location. Reports continue to print, but any report reference to Location 100 displays a "Location Code Not Found" message.

Delete This Location?

  • Yes - Remove the selected location from the Location Maintenance - Location Codes window.

  • No - Return to the Location Maintenance - Location Codes window without removing the selected location.

 

Printing Location Information

Print a summary or detailed listing of all locations on the Location Maintenance - Location Codes window.

 Print All Location Code Details?

  • Yes - Print all location code detail information.

  • No - Print only
