Reversing an Invoice

Overview

Use this job aid to reverse invoices created through Invoice Entry, and invoices imported from another software source. Reversing an invoice returns all merchandise to stock (increases the quantity on hand and value boxes), decreases the customer's accounts receivable balance, and voids the sales transaction. Optionally, the sales transaction can be removed from the inventory activity file in order to re-issue the same invoice number. If payment has been applied to the invoice, you must reverse the payment first.

To reverse an invoice:

  1. From the Toolbar, click INV for Inventory.

  2. From the Inventory menu, select Invoices.

  3. From the Invoices menu, select Reverse Invoice Entry.

  4. In the Reverse Invoice Entry window, highlight Reverse One Invoice or Reverse Multiple Invoices. Click Select.

  5. In the Location Code box, click Lookup or type * and press Enter, and then select the location code you want to reverse the invoice from, or type the location code you want to reverse the invoice from.

  6. In the Invoice Number box, click Lookup or type * and press Enter, and then select the invoice number you want to reverse, or type the invoice number you want to reverse.

  7. Click OK.

  8. In the Reverse Date box, the current processing date defaults, if this date is not correct, type a new reversal date.

  9. Click Reverse Only or Reverse to Delivery Ticket.

  10. At the Do You Want to Use This Invoice Number Again? prompt, click Yes or No.  If Yes, then that number will be allowed to use again, if No then that number will be flagged as void and will be unable to be used in the future.

                                                                      

  1. At the Do You Want To Reverse This Invoice? prompt, click Yes.
