Invoice Terms for Automatic Processes

Overview

Use to set the invoice terms for automatic processes. Invoice Terms are required to generate invoices in GRN Automatic Settlements, INV Automatic Invoices, the Invoice Import, and Budget Billing Recurring Invoices. If one of these automatic processes is run and the invoice terms are blank, either the process ends or an invoice is created without terms. The new process uses the new invoice terms if all other default terms codes are blank.

To create invoice terms for automatic processes:

1. From the Toolbar, click ACR for Accounts Receivable.

2. From the Accounts Receivable menu, Select Setup Information.

3. From the Setup Information menu, select General Information.

   Open

   

4. The Required Invoice Type? box enter N or Y.

5. The existing “Default Invoice Terms If None Specified” field will not be required. If left blank, a window will display asking the user for an invoice terms for automatic processes (if none specified).

6.  The Require Description To Be Entered On All Invoices? box enter N or Y.

7. The Require G/L Distribution On All Manual Invoices? box enter N or Y.

8. The Default To Print Cash Receipts & Sales Bookings? box enter N or Y.  Use Which Receipt Number range - choose #1-6 if applies.

9.  The Use Which Manual Invoice, Finance Charge and Interest Credit Range - choose option 1-2 if applies.

10.  Click Next.

11. When running automatic processes (ACR Invoice Imports, INV Automatic Invoices, GRN Settlements, ACR Recurring Invoices, etc), the normal method for determining Invoice Terms will be followed – first use Name Id, if blank then use default terms in setup information. If Invoice Terms is still blank, then use the new field for automatic processes, which cannot be blank because it is a required field.

12. Click OK

13. Click Next until you get back to the main menu of Account Receivable (you will need to click next through the screens in order for them to save the changes)
