Writing Off AR Documents

This process can be used to write off any outstanding debit or credit balances for your customers.

 Instructions

1. Set the system date to the desired date for the generation of Credit and Debit Memos.

2. GO to the Window Tools>Routines>Sales>Write Off Documents

3. There are 2 Types of write-offs that you can use

   • Underpayments: Initiate a write-off process in instances where a customer remits an amount less than the invoiced sum. This action will automatically generate and apply a Credit Memo for the respective customer, with the system date being utilized in the process.

   • Overpayments: Customer: Consolidates all balances into a single Debit/Credit memo to clear the overall balance.

     Document: Generates a separate Debit/Credit memo for each individual document being written off.

4. Write-Off Limit: Choose the dollar amount for the items that will be written off

5. Customers: You can use a range of any of the following:

   1. Customer ID

   2. Name

   3. Class ID

   4. Type

6. National Accounts? You can create a write-off from the parent of the child customer record

7. BEFORE YOU PROCESS- Make sure you PREVIEW

   1. You can review a list of documents scheduled for write-off in the system. Click on the blue underlined write-off amount to zoom in on the specific item slated for write-off.

   2. You have the option to prevent the system from writing off specific documents if you wish to retain them in your aging for collection purposes. To do so, simply deselect the box next to the transactions you do not want to write off.
