Guide to Setup Internal Company Transfers on oneWeigh [Quick Tip]

Use Case

If a company transfers grain between internal facilities, oneWeigh can be configured to print both the inbound and the outbound tickets at one location; alleviating the need to weigh the truck at both of the companies’ locations. This configuration can significantly speed up grain transfers during busy times at the scales.

Setup Questions

Before setup begins the following two questions need to be answered by management:

1. Will the origin site or the destination site be generating the tickets?

For our example the tickets will be generated at the origin site, this configuration will help ensure DOT load limit laws are observed.

2. Does the current system use two different ticket number sequences for Inbound and Outbound?

This can be determined and verified by noting the settings in the Setup Information > Workstation > Forms screen.

For this example, we will use two separate ticket sequences, note the Inbound & Outbound Commodity Ticket Ranges are set to 1 & 2.

Ticket Number control

Because multiple machines will be generating Inbound tickets for each location, the Inbound Ticket numbers must be unique for each location at each location. This is controlled by creating a transportation type labeled “Transfer” with a code of “X”.

  1. This transportation mode must be setup on the AGRIS Accounting server as well. This is created by accessing the Grain Transportation Mode setup.

  2. From the Main AGRIS screen navigate to: GRN > Setup Information > Transportation Information.

3. Select a blank space

4. Type the desired code in and the description. For this example, we are using X and Transfer, it is critical that a “Y” is entered in Unique Number Range

5. Select “Next” twice then “OK” and “Back” this sets up the transportation mode.

Determine Ticket Numbers

Each location will have a unique number on each machine. For this example, we will have 3 external locations. To facilitate this part of the process it is recommended that a matrix be setup for each OW machine, like the following, note the default location is Greenstone Origin, so G will be part of the ticket number prefix for each location.

Origin Location

Ticket Number and first number

Hamilton

GH0000

Pine Mt.

GP0000

Warm Springs

GW000

Setting Inbound Ticket Number

The Inbound Ticket numbers we will be configuring will be Inbound Ticket by Mode in AGRIS.

From the main Agris screen navigate to: Customize > Document Numbers

The following is an example of setting up ticket numbers for Pine Mt. location.

Setting Outbound Ticket Numbers

Repeat process above except for Outbound Ticket by Mode in AGRIS.

It is best practice to start the Outbound Transfer tickets with an X to help easily identify what are Transfer Tickets and what are regular tickets.

Configuring oneWeigh Workstation

  1. Navigate to: Setup Information > Workstation Information

  2. Select “Processing Options 2” tab and configure as shown below

Validation

Finally validate by running an Outbound Transfer Ticket the ticket Entry screen should be set as follows:

When “Print” is pressed it will activate the process to generate the Outbound printed ticket then automatically ask for the destination location, once that is selected it will print the Inbound ticket.

Both the outbound and inbound tickets will be imported into AGRIS and tied together using the Other Reference field.
