Report that show permissions by a user profile with the ability to export security settings for all users to a spreadsheet {available at Customize > System Security > Print} (AGS-2712)

Benefits:

  • Reduce time and effort to understand who has access and to what level with the ability to set filters on packages, access levels, etc. 

  • Reduce effort to share security settings by user with internal and external auditors.

These changes allow for user security settings to be exported to a spreadsheet for easier searching and sorting.  It also adds a section to the security reports for AttachToo Document Types.

Below is a brief (2 minutes, 14 seconds) video of how to use this feature.

Navigation to Use: Customize > System Security > Print

  1. Click the Print button on the main System Security screen.

  2. Two new options are available.

    1. The first will display all of the AttachToo document type/subtype combinations and specify each user's security level for each one.

    2. The second will create a spreadsheet containing the selected security options and launch it with the configured application.

  3. Other changes.

    1. The default value for Print Security Listing ? has changed to "G" for Group User Id Security Settings.

    2. The Location List previously used "No assigned locations" when the user had no locations explicitly assigned.  This has been change to "All Locations" to more accurately describe the users' access.

    1. This file SampleSystemSecurityReport.csv and the explanations below are based on these settings:

      1. Here is a sample output file in Excel, where row 1 was clicked and Data > Filter was selected and then the filter set on "SYS":

    2. Column A - Label: TYPE

      • "Menu" if Print Security Listing ? is set to "Y"

      • "AttachToo" if Print AttachToo Security Listing ? is set to "Y"

      • "General" if Print General Information ? is set to "Y"

      • "Location" if Print Location List ? is set to "Y"

      • If Print Group User ID Summary ? is set to "Y" then that data is included in the General section.

    3. Column B - Label: PKG

    4. Column C, Label: MENU

      • For Type="Menu" 

        • Menu Option and Submenu Option separated by a hyphen.

        • A second hyphen and the third tier number for third tier security.

        • Only present for type "Menu"

        • Example: 2-0 for ACP-Disbursements-Disbursement Processing

        • Example: 2-0-0 for ACP-Disbursements-Disbursement Processing-Create Generic Prepayment

      • Blank for other Types

    5. Column D, Label: CODE

      • For Type="MENU" 

        • Five character menu code

        • A hyphen and the five character third tier code for third tier security.

        • Example: DSBPR for ACP-Disbursements-Disbursement Processing

        • Example: DSBPR-DSCGP for ACP-Disbursements-Disbursement Processing-Create Generic Prepayment.

      • For Type="AttachToo"

        • Document Type and Document Subtype separated by a hyphen.

        • Example: APPAY-MISC for ACP-Disbursement-Miscellaneous

      • For Type="General"

        • Blank

      • For Type="Location"

        • Location code

    6. Column E, Label: DESCRIPTION

      • For Type="MENU" 

        • The description of each of the menu options separated by hyphens

        • Example: DISBURSEMENTS-DISBURSEMENT PROCESSING for ACP-Disbursements-Disbursement Processing

        • Example: DISBURSEMENTS-DISBURSEMENT PROCESSING-CREATE GENERIC PREPAYMENT for ACP-Disbursements-Disbursement Processing-Create Generic Prepayment.

      • For Type="AttachToo"

        • The description for the Document Type and Document Subtype separated by a hyphen.

        • Example: Disbursement-Miscellaneous for ACP-Disbursement-Miscellaneous

      • For Type="General"

        • The name of the property

        • If Print Group User Id Summary ? is set to "Y" then a row will be added for Group User Id.  

      • For Type="Location"

        • Location description

    7. Column F+,  - Label: <name id>

      • The data elements for each name id.
