Purchase Contract Underfill
The "Closed" box on a purchase contract means it's finished. This usually happens automatically when the contract is filled. You can also check it yourself, but it is not recommended.
To finish a contract, always "underfill" it. This is the correct way to update your numbers.
To set the default shipping method for underfilling contracts, go to MDGP>>Tools>>Setup>>Cinch Grain>>General Setup. You can do this for both buying and selling contracts.
(Transactions>>Cinch Grain>>Purchases/Inbound>>Purchase Contracts>>Purchase Contract Entry)
Bring up the un-filled contract. Select Additional>>Underfill Process.
If there are Assemblies that have scale tickets applied but have not yet been settled then you will receive the following message. You must complete the settlement process before you can underfill the purchase contract.
The Purchase Contract Underfill Entry screen will default in the Document Type of Create Receivable.
If money is owed to the vendor then you may choose Create Payable.
The customer will default in. Customer/Vendor Linking needs to be setup. If not you will be prompted to set it up.
You may choose to underfill the contract at no charge or include a price.
Enter in a Batch Number, Select a Shipping Method and Site.
The Underfill Item should never be the same as the Item on the contract. We have setup Item UC as a service Item type.
Select Process and the transaction will be placed in the specified Batch to be posted if an amount was chosen.
If you wish to continue with creating an underfill select Yes.
Select No if you with to cancel the underfill transaction.
The Purchase Contract is updated and the Remaining Qty field will display with a Red U indicating that the contract
was underfilled
If there was a price associated with the underfill then a Cinch Sales Invoice is created (Transactions>>Cinch Sales>>Invoice) Review the details and Print the Invoice.
(Transactions>>Cinch Sales>>SOP Batches) Post the Underfill batch to complete the process.
