Setup Contract Quick Entry

Overview

Setup to assist in modifying the Contract Maintenance screens to provide a contract quick entry process. Please refer to the procedure Adding a New Contract - Quick Method for further information on Contract Entry.

To setup Contract Quick Entry:

  1. From the Toolbar, click GRN for Commodity Management.

  2. From the Commodity menu, select Setup Information.

  3. From Setup Information, select Contract Types.

  4. Select the Priced contract type from the menu.

  5. Select Available Fields --- Purchase from the menu. Click Select.

  6. You can select fields from the Available Fields or the Remarks or a combination of the two. An additional 4 options have been added to allow more flexibility, particularly with the price fields. To select your option, click on the Lookup or type * and Enter and then select the option or just type the option number. The options are listed at the bottom of the screen and include:

    1. 0=Not available

    2. 1=Optional

    3. 2=Required

    4. 3=Required, allow zero price (price fields only)

    5. 4=Optional, also show on main screen

    6. 5=Required, also show on main screen

    7. 6=Required, allow zero price, also show on main screen (price fields only)

  7. On the Remarks screen you will have 5 options to choose from. To select your option, click on the Lookup or type * and Enter and then select the option or just type the option number. The available options are:

    1. 0=Not available

    2. 1=Optional

    3. 2=Required

    4. 4=Optional, also show on main screen

    5. 5=Required, also show on main screen

  8. Once these selections are made this will determine which fields will be available on the bottom half of the contract entry screen.

  9. Scheduled Units and Number of Loads (if Loads Contract) will always be available and required on the main screen if at least one other field is available at the bottom of the main screen.

  10. Up to 10 fields from the Available Fields or the Remarks or a combination of the two may be entered from the main screen.

  11. All fields placed on the bottom of the main screen are also in their normal position during contract entry.

  12. These changes are only available when adding a new contract.

  13. All fields will be in their normal position when editing a contract.

  14. Should you wish to use the Quick Entry Method on both purchase and sales you will need to set the Available Fields and Remark Fields for both. This setup addresses the Priced Purchase Contract only, you will need to complete this setup for each type of contract listed under contract types, even the Spot Contract Type as of version 20.1.
