Producing a Delivery Sheet

Overview

Use this job aid to produce a delivery sheet. The delivery sheet process consolidates ticket applications, it is a summary of all tickets for a particular customer. The delivery sheet is the source document for applied tickets. Delivery sheets cannot be issued for transfer or voided tickets.

To produce a delivery sheet:

  1. From the Toolbar, click GRN for Commodity Management.

  2. From the Commodity menu, select Settlements.

  3. From the Settlements menu, select Produce a Delivery Sheet.

  4. In the Commodity Code box, click Lookup or type * and press Enter, and then select a commodity or type the commodity.

  5. In the Customer Name Id box, click Lookup or type * and press Enter, and then select the customer name, or type the customer name.

  6. In the Purchases/Sales box, type P for purchases or type S for Sales.

  7. In the Location Code box, click Lookup or type * and press Enter, and then select the accounting location, or type the accounting location .

  8. In the Split From Name Id box, click Lookup or type * and press Enter, and then select the original client name id for whom the ticket was entered during Ticket Entry (usually the farm number), or type the original client name. Splits are used if customers want to segregate tickets by farms.  Note: each client must have his own unique delivery sheet. The client identified by the Split From Name Id box is a convenient cross-reference on farmer-landowner accounts. A delivery sheet can be printed as many times as necessary. 

  9. In the Reprint Sheet No. box, click Lookup or type * and press Enter, and then select a delivery sheet number, or type the delivery sheet number.  Note: A delivery sheet can be printed as many times as necessary. To reprint an existing delivery sheet, type the delivery sheet number and application number in this box. 

  10. Click OK.

  11. On the Filter screen you can narrow your selection for the Delivery Sheet.  In the Ticket Number, Shipment Date, Contract Number and Other Ref.# Beginning and Ending boxes, click Lookup or type * and press Enter, and then select the information, or type the information that will limit the ticket selections, or leave blank to display all tickets. Note: Beginning and Ending limits the display of tickets. The range boxes can be used to limit the selection of tickets to be included on the delivery sheet. The Beginning and Ending boxes for Ticket Number, Shipment Date, Contract Number and Other Ref.# restricts the ticket selection process to only those tickets that fall between the beginning and ending values. These boxes can be left blank to include all possible combinations.

  12. In the Application Type box, type a contract type (upper case) or storage type (lower case) to limit the ticket selection process to a single type of application (defined to the right of the box). Leave blank to include all application types.

  13. In the Transportation Mode box, type T for Truck, R for Rail, B for Barge, etc. to limit the ticket selection process to a single transportation mode. Leave the box blank to include all modes.

  14. In the Vehicle Id box, type a vehicle id to limit the display of tickets to a specific vehicle. Leave blank to include all vehicle ID'S.

  15. In the Shipment Id box, click Lookup or type * and press Enter, and then select a shipment id number, or type the shipment id number, or leave blank to include all shipment ids.

  16. In the Ticket Type box, type R for Regular, D for Direct Haul, or S for Terminal Storage (only on sales side) to limit the ticket selection process to a single ticket type. Leave blank to include all ticket types

  17. In the Price/Unpriced? box, type P for Priced, or U for Unpriced, in the Priced/Unpriced box to limit the ticket selection process. Leave blank to include both priced and unpriced tickets.

  18. In the Final Wght/Grade Only? box, type Y to include only tickets that have gone through the Actual Weight And Grades process, or type N to group all tickets that match the selection criteria.

  19. In the Filled Contracts Only? box, type Y to include only tickets that have been applied to contracts with the contract status as filled, or type N to group all tickets that match the selection criteria.

  20. In the 1 Tckt Per Application? box, type Y to create a separate delivery sheet application for each ticket that meets the selection criteria, or type N to group all tickets that match the selection criteria on the same application.

  21. In the Choose Each Ticket? box, type Y to display a window for approval of each ticket, or type N to group all tickets that match the selection criteria.

  22. In the Farm/Field box, use the Lookup button to search or leave blank.

  23. Click OK.

  24. Once you click OK, the screen shows all the tickets that match the criteria of the filter.

  25. Select #1 Update Files and Print Delivery Sheet to update the Customer's file and print a Delivery Sheet, #2 Update Files and Print Delivery Form to update the Customer's file and print a Delivery Form, #3 or #4 to just print a sheet or form without saving any update.

26. If you select #1 or #2 the next screen you can set the Storage/Dp Table or Deferred Payment Date if needed.  Click OK to print.
